Rental Management Services

 Western Cape Developments, established in 2018, is developing the new prestige Millennial Arch building in Langebaan, included in our business is the professional service of letting out your property as a holiday rental.

Should you wish to make use of our services, we would provide you with reliable, consistent and excellent quality service, ensuring the homeowner’s peace of mind while we manage your investment.

Your property will be well maintained and generate a continuous income throughout the year as Langebaan is a hot spot for holiday makers on a regular basis.

This document will form as the basis of our full scope of service offering to all homeowners interested.

Bookings

We take care of the booking process with specialized software and trained personnel.

Maintenance

Maintenance of your property is our top priority, however small or large the project on your behalf.

Western Cape Developments has its own reliable team of contractors to manage the maintenance and any emergency situations when required.

Marketing

Western Cape Development takes full responsibility for marketing the property. 

The following marketing channels will be used:

  • Own website – www.millennialarch.co.za
  • Social Media
  • Online Travel Agents such as Booking.com, TravelGround, Lekkerslaap, Air B&B etc,
  • Local Business Partners such as Tourism offices and local estate agency.

House Content

  • Inventory check will be done on each unit. These are the most frequently used items such as the kitchen utensils. We aim to standardise these items and we also keep the items in stock.
  • Clause 18 lists the items which should be in the house. These are roughly based on the Tourism Grading Council’s guidelines for Self-Catering Holiday Homes.

Cleaning

  • We manage the cleaning of the houses by our own in-house well-trained staff.
  • When the homeowner uses the property, we render an exit cleaning service.

Linen

The property is managed and marketed with linen. The homeowner has to supply three sets of good quality linen, including towels and bathmats.

Duvet covers are washed after each booking. 

Double beds – 4 standard pillows

Single beds – 2 standard pillows

Bathroom mats – preferable washable and durable

Each bed must have an extra blanket for winter

All beds must have mattress and pillow protectors

WiFi

Millennial Arch will have fibre that the homeowner can register for.

Keys

Western Cape Developments requires three sets of keys, alarm, gate remotes etc.

Finances

The management fee will be 30% of income calculated on the base rate.

The advertised rate, which is on the marketing channels are different.  This allows for a cleaning component and fees payable to online travel agencies.

Western Cape Developments is responsible for the general business expenses, marketing cost, cleaning, guest amenities.

The homeowner is responsible for the municipal account, energy cost (electricity, gas, DSTV, Wi-Fi)

Rental Rates will be based on seasons, the size of the property, location and level of luxury.

We manage rates to maximise the income for both parties.

Longer-term bookings or group bookings can be negotiated with homeowners as and when necessary.

Homeowners use of property

Homeowner can “book” the property any time for his own use, depending on availability.  

Risk

There is a risk in day-to-day rentals.  Western Cape Developments manages the processes; however the risk remains that of the homeowner.  It is therefore advised that the homeowner insures accordingly to provide for any risks or incidents applicable to the hospitality industry.

How we minimize the risk to the homeowner:

  • A person in the rental party signs and accepts responsibility for the house and will also be held liable for any damages which may occur.
  • Western Cape Developments does not book more people into the unit than allowed. In the Rental Agreement the guest confirms the number of adults, children and toddlers. There is thus no uncertainty what is allowed and what not.

Contract Term

The agreement is based on the ethical behaviour and performance of both parties.

Should the homeowner end the agreement and Western Cape Developments cannot move the future bookings, the homeowner needs to honour the bookings.

Should the homeowner not honour the bookings, all legal fees, penalties, claims and costs applicable to the specific booking, will be for the homeowner’s account.

General Home and Inventory Requirements

The following items has to be in the unit:

Kitchen:

Cutlery organizer, sugar canister and milk jug

Bread knife and bread/chopping board

Corkscrew and bottle and tin opener

Peeler, grates, kitchen scissor, egg lifter, oven gloves and braai equipment

Steel brush, tongs, covered dust bin, dustpan and brush

Broom, mop, bucket, floor cloth, hot placemats for pots

Dish drying rack, fire extinguisher, iron with ironing board, clothes pegs and bag

Knives, Steak knives, forks, teaspoons and dessert spoons

Small plates, large plates, coffee mugs and bowls.

Whiskey tumbler, cooldrink glasses, wine glasses and beer glasses

Carving sharp knives, frying pan, sauce pan, cooking pot, strainer, serving bowl, plastic bowls with lids, salad bowl with salad spoons

Casserole/braai bowl, oven roasting tray, tablespoons, stirring spoon and serving trays.

Appliances:

Kettle, toaster, microwave, stove and oven

Fridge with freezing compartment or freezer

Washing machine and tumble dryer (Optional, but recommended)

Dishwasher (Optional, but recommended)

Bedroom:

Beds (headboards recommended) and good quality mattresses

Bedside tables and bedside lamps – 1 per single bed and 2 per double/queen/king

One Mirror per room

5 hangers per cupboard

Bedroom Linen:

Duvet inner – 1 per bed

Hand Towels – 1 per bed

Duvet covers – 3 per bed

Fitted sheet – 3 per bed

Pillow covers – 3 per pillow

Bath Towels – 3 per bathroom

Bathroom mats – 3 per bathroom

Mattress protector – 1 per bed

Pillow protector – 1 per pillow

Standard pillows – 4 per double bed and 2 per single bed

Extra blanket for the winter – 1 per bed

Bathrooms:

Bin with lid and toilet brush

Hooks, railing to hang towels

Living room:

TV, Netflix box or Dstv + Smartcard.

Chairs/couches – 1 seat per person catered for.
